From Brokers and Brokerage Staff

  • Brokerage name and business information
  • Province and address information
  • Your subscription plan and payment history
  • Login activity and session information
  • Your brokerage logo and brand colours

From Clients (End Users)

  • Full name, phone number, and email address
  • Policy number(s)
  • Incident details — date, time, location, and description
  • Voice recordings and transcripts
  • Photographs and documents uploaded as part of the claim
  • GPS location data (where provided)
  • Third-party information relevant to the claim
  • Device and browser information

Automatically Collected

  • IP address and browser type
  • Pages visited and time spent on the platform
  • Cookie data (see Cookie Policy below)
  • Error logs for technical support

Why We Collect Your Information

Only for these legitimate purposes:

  • To provide and operate the Claims Made Easy platform
  • To process and manage insurance claims on behalf of brokers
  • To communicate with brokers and clients about claim status
  • To send billing and subscription communications
  • To provide customer support via email
  • To improve and develop the platform
  • To meet our legal obligations under POPIA
  • To detect and prevent fraud or misuse of the platform

We will never use your information for any purpose not listed above without your explicit consent.

How We Store and Protect Your Data

All data is:

  • Stored on South African servers operated by Supabase
  • Protected by 256-bit SSL encryption in transit
  • Protected by AES-256 encryption at rest
  • Row-Level Security — each brokerage's data is completely isolated from all others
  • Access-controlled — only authorised staff can access your data, only for legitimate support purposes
  • Backed up regularly to prevent data loss

We never store payment card details. All payments are processed by secure third-party payment providers.

How Long We Keep Your Data

  • Active accounts: Data retained for the duration of your subscription
  • Cancelled accounts: Data retained for 60 days after cancellation, after which it is permanently deleted
  • Claim records: Retained for as long as your account is active, in line with insurance industry requirements
  • Backup copies: Destroyed within 90 days of account deletion

Who We Share Your Data With

We do not sell, rent, or share personal information with third parties for marketing purposes. Ever. We only share data with these service providers:

  • Supabase — database and infrastructure provider, operating under strict data processing agreements
  • Netlify — our hosting provider
  • OpenAI — voice transcription services only (voice data is processed and not stored)
  • Your Insurer — claim data is shared with the relevant insurer as the core outcome of the platform
  • Law enforcement — only if legally required

Analytics Cookies: Used to understand how brokers and clients use the platform. Only placed if you click "Accept All Cookies."

Your Rights Under POPIA

As a data subject under South Africa's POPIA, you have the right to:

  • Access: Request a copy of the personal information we hold about you
  • Correction: Request that we correct any inaccurate or incomplete information
  • Deletion: Request that we delete your personal information, subject to legal retention requirements
  • Objection: Object to the processing of your personal information in certain circumstances
  • Complain: Lodge a complaint with the Information Regulator of South Africa if you believe your rights have been violated

Data Breach Notification

In the unlikely event of a data breach that poses a risk to your personal information, we will:

  • Notify the Information Regulator within 72 hours
  • Notify all affected individuals without undue delay
  • Take immediate steps to contain and remediate the breach
  • Provide a full incident report to affected parties

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top of this page and notify active subscribers by email at least 14 days before changes take effect.
